Building SampleHQ: A SaaS Platform for the Real World

For years, I’ve worked closely with packaging and label manufacturers, and one problem has always stood out – how disorganized sample requests can be. Sales reps rely on scattered emails and spreadsheets, fulfillment teams lose track of what’s approved or shipped, and managers struggle to see the full picture.
It’s not a glamorous problem, but it’s one that wastes time and money every single day.

That frustration was the starting point for SampleHQ – a SaaS platform built specifically to manage sample orders from start to finish, without the usual chaos.

From Real Problems to a Real Solution

SampleHQ wasn’t born from theory or trend chasing. It came from watching how real teams work and understanding that most systems built for manufacturing are either too heavy or too generic.
The goal was simple: bring order, visibility, and accountability to the sample request process – and make it so easy that anyone on the team could use it.

A Platform Built on Proven Foundations

SampleHQ runs on WordPress Multisite, which gives each company its own secure workspace while keeping management, updates, and scalability simple on the backend.

The platform uses Paddle for billing and subscriptions – with full automation for trials, plan changes, and renewals. Companies can start a trial, choose a plan, and have their workspace provisioned instantly, all in one seamless flow.

For authentication and team access, SSO (Single Sign-On) is fully integrated, allowing secure logins across organizations without added setup.

And for sales visibility, CRM integrations with HubSpot and Salesforce are already built in, so every request and shipment can tie directly into a company’s existing pipeline.

Simple Roles, Clear Workflows

The app revolves around three roles:

Each role sees exactly what matters to them – no clutter, no confusion. It’s designed to feel natural whether you’re sending your first request or managing hundreds a month.

Design That Works for the Factory Floor

SampleHQ uses TailAdmin, a modern Tailwind-based interface that makes the entire experience clean, fast, and intuitive.
The dashboards are built for focus: reps track their requests, fulfillment handles approved orders, and managers get a complete overview of operations.

Where It Stands

The app is nearly ready for launch. Core systems – CRM, SSO, and Paddle – are fully integrated and stable. The remaining work focuses on polishing the user experience, final testing, and preparing onboarding for early adopters.

It’s been built quietly, with real-world workflows guiding every feature. No unnecessary complexity, no “enterprise” fluff – just a system that helps teams stay organized and deliver samples faster.

What’s Next

Once the initial rollout is live, SampleHQ will expand with analytics and automation tools that connect sample requests to actual sales outcomes. The vision is simple: give packaging and label companies a single platform where sales, fulfillment, and management can finally work in sync.

SampleHQ is not about reinventing how factories work – it’s about making their day-to-day smoother, faster, and more connected. Real software for real teams.
